What is a company brain? AI that knows your business
A company brain is your company's knowledge kept as files an AI assistant can read: documents, numbers, email and agreements. You ask a question in plain language. You get an answer from those files, with the source attached, instead of a guess from the open web. With AI Board, that brain lives on your own laptop and stays yours.

What your company knows sits in your head, in a few inboxes and in folders nobody opens anymore. ChatGPT doesn't know your business: it only knows what you upload or told it in an earlier chat. A company brain brings that knowledge together, so you stop explaining your business all over again with every question.
The definition
What is a company brain?
A company brain has three traits. It is made of your own files, those files are read before you ask, and you query them in plain language. The term is young, and its definitions are still settling.
Your own files
You choose what the brain reads: documents, exports of your numbers, email and calendar. You don't retype anything: the brain reads your files as they are.
Read and organised in advance
The assistant has already read your files, page by page, slide by slide or sheet by sheet. Every piece keeps a link to the original.
Questions in plain language
You ask the way you would ask a sharp colleague, and the source comes with the answer.
That also sets it apart from a standalone chatbot, which knows nothing about your company, and from a dashboard, which only answers the questions someone built into it beforehand. Building one doesn't train a model either: the assistant reads your files and names the source.

I chose that middle ground on purpose. As a director you need the company's numbers and documents, and also your own agreements and priorities. The personal side is covered in the executive second brain.

In three steps
How do you fill a company brain?
You fill a company brain in three steps: you choose the folders, the assistant reads them in, and scheduled routines keep it current. I set up all three on the setup day.
Step 1: choose the folders
Don't start with everything. Point to the folders you open most: quotes, contracts, the monthly numbers, the papers for the management team. Anything you don't point it at does not exist for the assistant. What you miss, you add later.
Step 2: let the assistant read them in
The assistant reads every file page by page, slide by slide or sheet by sheet, and stores it as a note in your brain. The original is kept. A presentation gets an image and a description of each slide.
In the Claude edition, Claude writes that description, so the presentation goes to Anthropic. For a sensitive deck that step can be switched off; the brain then keeps the text, your speaker notes and an image of each slide.
Step 3: schedule routines
After that the brain largely keeps itself current. Routines run on your laptop at fixed times: a daily brief around eight, a kick-off on Monday, the weekly review on Friday.
They read new email, your calendar and your numbers, and set out what you need to see that day.
A routine never sends anything; it prepares drafts and you send them. Your laptop does have to be on. If it was off, the routine doesn't make up the missed run; the next one runs as usual.
Checklist: what to prepare for the first fill

- Admin consent for your email and calendar (Microsoft 365 or Google Workspace)
- Three real questions from your work; we test with them in the afternoon
Better every week
How does a company brain get sharper?
A company brain gets sharper because you correct it and the assistant records those corrections. The language model itself does not change.
A frequent question can become a fixed instruction, and a correction a rule in memory. You decide which.
With clients, I install one brain per manager. Each manager has their own folders, routines and dashboard, on their own laptop. What one manager records does not end up in another manager's brain.
After the first week, one fixed task can tidy the memory. The assistant looks for what you asked or corrected more than twice and proposes a rule for each point. Nothing changes until you say yes, point by point.
From then on it works in plain language. Say "do it this way from now on", and the assistant records that in a fixed instruction.
Such a rule or fixed instruction is a plain file in your own folder, which you can read and change. Everything the brain builds up this way stays yours, even if you stop.

Under the hood
How AI Board is built
AI Board is built from parts you can name: Claude Code, a vault of Markdown files, skills, routines and connectors.
- Claude Code. Anthropic's agent, installed on your laptop. It reads and writes the files in your vault; the model behind it runs at Anthropic.
- A vault. A folder of plain Markdown files, opened in Obsidian, a free notes app. Your notes, dashboards and Kanban board live there, readable in any text editor.
- Skills. Fixed instructions for work you repeat, such as a weekly report. They are files in the same vault.
- Routines. Scheduled tasks on your laptop that run the daily brief, the Monday kick-off and the weekly review.
- Connectors. Email and calendar through Microsoft 365 or Google Workspace, plus channels such as Google Ads, Meta Ads and Search Console.
The way I explain it at an installation: the vault is the memory, Claude is the brain, the skills are the playbook.

Company knowledge is the ChatGPT feature that pulls context from apps you connect, such as SharePoint and Google Drive, with citations. OpenAI offers it in ChatGPT Business, Enterprise and Edu.
If you work in Microsoft 365, Microsoft 365 Copilot with the paid Premium licence pulls in your work data, within each user's permissions. Read what Microsoft 365 Copilot costs, and whether you need it first.
None of the three is safe or unsafe by default. If a whole team shares the same knowledge, or your team already works in ChatGPT, a cloud platform or ChatGPT is the obvious choice.
A company brain on your laptop is for the director who wants to query their own company without that knowledge being locked in with a provider.
The data path
Where does your company brain live, and what goes to the cloud?
Your company brain lives on your laptop. You choose if a question goes to a cloud model or stays fully local. What travels where depends on the edition.
- Claude edition. Your question and the context the assistant retrieves from your files go through Anthropic, the maker of Claude. The ingest step also uses Claude, to describe presentations. According to Anthropic, that data is stored in the US and may also be processed in other countries.
- Local edition. An open-weights model runs on your own laptop, on the same brain. Processing then stays on your machine too. That model is less capable than Claude.
Whether conversations ever become training data depends on your Claude plan. On Free, Pro and Max you control that yourself with a privacy setting; on Team and Enterprise, Anthropic does not train on your content by default. We discuss sensitive data, such as staff records, beforehand: keep it local, anonymise it or leave it out.

Limits
What can't a company brain do?
A company brain makes no decisions and knows nothing you never recorded. You get the facts with their sources and make the choice yourself. A conversation in the corridor is not in your files.
The brain reads the numbers your accounts produce and books nothing itself. Emails and documents wait as drafts; you read and send.

What is the difference between a company brain and ChatGPT?

Is a company brain only for large companies?
No. In the Netherlands, 70% of SME owners use AI, and 36% use it to understand how their business is performing (Exact, SME Barometer, August 2026). Large companies often have data analysts for that; many SME directors don't.
